Connect sender accounts

Create an app password (or mailbox password) with Google or Microsoft, then paste it in Settings → Sender Accounts.

After the mailbox is connected, you can send from Inbox and the Send Email column tool.

Plans

Sender accounts are never shared. Each person who can connect them gets their own list of up to 10.

Unipile (personal Gmail/Outlook, LinkedIn, WhatsApp) is separate. One Unipile account per kind.

Who can connect sender accounts

You need Inbox on the plan. On Starter, only the workspace owner or admin can connect. On Pro or Scale, every member can connect their own mailboxes. If you cannot see Settings → Sender Accounts, ask a workspace admin.

What you need

  • The mailbox address you will send from (you@gmail.com or a Microsoft / Microsoft 365 address)
  • An app password for Google. For Microsoft, use an app password if two-step verification is on, otherwise the mailbox password
  • IMAP turned on for that mailbox

Do not paste your normal Google sign-in password. Gmail rejects it for IMAP.

Create an app password

Google only issues app passwords after 2-Step Verification is on. Official help: Sign in with app passwords.

1. Turn on 2-Step Verification

  1. Open Google 2-Step Verification while signed in as the mailbox you will connect.
  2. Complete the setup (phone, authenticator, or another method Google offers).

If this is a Google Workspace (work or school) account, an admin must allow 2-Step Verification and app passwords for the user. The admin cannot generate the password for you.

2. Create the app password

  1. Open App passwords. Google may ask you to sign in again.
  2. Name it something you will recognize, such as Kuration.
  3. Click Create.
  4. Copy the 16-character code. Google shows it in four groups. Spaces are fine to leave in or strip.

You will not see that exact code again. If you lose it, create a new app password and reconnect.

If the App passwords page is missing:

  • 2-Step Verification is not on yet
  • The account uses security keys only
  • The account is in the Advanced Protection Program
  • A Workspace admin has blocked app passwords

3. Confirm IMAP is on

In Gmail: Settings → See all settings → Forwarding and POP/IMAP → Enable IMAP. Workspace admins can also disable IMAP for the domain.

The Kuration form accepts the mailbox password. If the account has two-step verification or MFA, use an app password instead. Official help: App passwords for a work or school account.

Personal Outlook / Microsoft account

  1. Open Microsoft account security and sign in as the mailbox you will connect.
  2. Turn on two-step verification if it is not already on.
  3. Open Advanced security options.
  4. Under App passwords, create a new password and name it Kuration.
  5. Copy the generated password.

In Outlook.com, also turn IMAP on: Settings → Mail → Forwarding and IMAP → Let devices and apps use IMAP.

Microsoft 365 work or school

  1. Open Security info (or aka.ms/mysecurityinfo).
  2. Choose Add method → App password. If that option is missing, the tenant admin has not allowed app passwords.
  3. Name it Kuration, then copy the generated password.

A Microsoft 365 admin also needs to allow IMAP/SMTP for the mailbox:

  • IMAP enabled for the user
  • Authenticated SMTP (SMTP AUTH) enabled for the mailbox

Some tenants enforce modern authentication only and reject app passwords. If connect fails after the password is correct, the admin needs to allow SMTP AUTH / basic IMAP for that mailbox, or you should use a Google mailbox instead.

Connect the mailbox in Settings

  1. In Kuration, go to Settings → Sender Accounts (/settings/sender-accounts).
  2. Under Connect a mailbox, fill in:

    Field What to enter
    Email The full mailbox address
    App password The Google app password, or the Microsoft app / mailbox password
    Provider Google or Microsoft
  3. Click Connect.

Kuration uses the usual IMAP/SMTP hosts for that provider. You do not type those hosts in the UI.

On success, a toast says Mailbox connected and the address appears under Connected mailboxes with status ready.

To drop a mailbox, click Remove on that row. That only disconnects it from Kuration. It does not delete the mailbox at Google or Microsoft, and it does not revoke the app password. Revoke unused app passwords in the Google or Microsoft security pages above.

Use the connected mailbox

Once status is ready:

  • Inbox — send and reply from that address
  • Send Email tool — pick the mailbox as the from account when you add or run the column
  • Sequences — choose it as the sender account

Send volume still follows the messaging rate limits.

If connect fails

What you see What to try
Email and password are required Both fields must be non-empty.
Password incorrect / auth failed (Google) Use a fresh app password, not the Google sign-in password. Create a new one if you changed the Google account password (Google revokes app passwords when you do).
Password incorrect (Microsoft) Try an app password if MFA is on. Confirm IMAP and SMTP AUTH are enabled.
Cannot find Sender Accounts Plan does not include Inbox, or you are a Starter member (only the workspace admin can connect).
You can connect up to 10 sender accounts Each person has a cap of 10. Remove one, then connect again.
Mailbox listed with an error Open Refresh, or Remove and connect again with a new app password.

Treat the app password like a secret. Do not put it in Slack, a spreadsheet, or a screenshot.
